This policy explains how Nexora IT Agency ("we", "us") collects, uses and protects information when we use WhatsApp Inbox (the "Platform", available at cloud-whatsapp.nexora-portal.com) to communicate with our customers on WhatsApp through the official WhatsApp Business Platform (Cloud API) provided by Meta Platforms, Inc.
1. Who this applies to
- Customers who send messages to, or receive messages from, our WhatsApp Business numbers.
- Team members (our employees and contractors) who log in to the Platform to answer those messages.

We do not use cookies for advertising or tracking. The Platform only sets a session cookie for logged-in team members and optional preference cookies (language and theme).
3. How we use the information
- To read and reply to your messages and provide the service or support you asked for.
- To send you notifications or messages you agreed to receive, using message templates approved by Meta.
- To keep a history of the conversation so any team member can continue it.
- For quality control and internal reporting (for example, response times and which team member replied).
- To secure the Platform, prevent abuse and troubleshoot technical problems.
We do not sell your personal data and we do not use it to train artificial-intelligence models.
4. Legal basis
We process this information because it is necessary to respond to your request or perform a contract with you, because of our legitimate interest in providing customer service, and, where required, on the basis of your consent (for example, for marketing messages, which you can stop at any time by replying "STOP" or asking us).
5. Sharing
- Meta Platforms, Inc. / WhatsApp — messages are transmitted through the WhatsApp Business Platform and are subject to WhatsApp's Business Policy and Privacy Policy.
- Hosting provider — our servers and database are hosted by our hosting provider, who processes data only on our instructions.
- Authorities — only when required by law.
6. Storage and security
Data is stored in our own database on servers we control, accessed over HTTPS only. Team member passwords are stored as one-way hashes, access is limited by role (team members only see the WhatsApp lines assigned to them), and webhook requests from Meta are verified with a cryptographic signature.
7. Retention
- Conversations are kept for as long as needed to serve you and meet legal or accounting obligations, after which they are deleted.
- Raw technical webhook logs are deleted automatically after a few days.
- Media files you send are downloaded from Meta when first viewed and kept with the conversation.
8. Your rights
You can ask us to access, correct, export or delete your data, or to stop messaging you. See Data Deletion Instructions or contact us. You may also complain to your local data-protection authority.
9. Children
The Platform is not directed at children under 16, and we do not knowingly collect their data.
10. Changes
We may update this policy. The "Last updated" date above shows when it last changed.
